This policy explains how Toronto Permit Leads collects, uses, discloses and safeguards personal information when you visit our website, contact us or create member access.
Information we collect
When you create member access, we collect your business name and work email. You may later add your trade, service area, project preferences and delivery email. We may also collect messages you send us, membership status, private access-link records and member-session records. When you request the project examples, we collect your name, company, work email, primary trade, service area and optional marketing-consent choice. Stripe processes payment details for paid memberships; we do not store full card numbers.
When you request coverage in a U.S. market, we collect your name if supplied, company, work email, trade, city, state and optional marketing-consent choice. We save these details to respond about your requested coverage and plan future markets. A market request does not create a paid membership or require marketing consent.
Our website records limited interaction events such as page visits, sample downloads and checkout activity, along with referral or campaign labels when present. We use this to understand whether outreach is working. Our first-party analytics table does not record an IP address. We also use Google Analytics to measure visits, traffic sources, downloads and signup activity. Google Analytics may use cookies or similar technologies and may process device, browser, approximate location and interaction information according to Google's own terms and privacy practices. You can limit this collection through your browser's privacy and cookie settings. Our hosting providers may separately process basic technical information, such as IP address, browser type, device information, timestamps and security logs, to operate and protect the service.
Property listing submissions
When an agent or authorized brokerage representative submits a property, we collect the property address, listing description, asking price, original listing link, any authorized photo link, agent name, brokerage, business contact details and advertising authorization. Submissions remain private until reviewed. Approved property details and the submitted business contact information are displayed publicly. We use submission details to review and maintain the listing; submitting does not create marketing consent. Contact support to request a correction or removal. We do not collect private homeowner phone numbers from permit records.
Private project-introduction pilot
If you request a contractor introduction, we collect your name, email, optional phone, role, project municipality, type, budget range, timing and description, together with the review-consent version and submission time. We use these to review your request and contact you about it. Submissions are private, unverified and separate from our permit reports and member exports. We do not share them with contractors unless you separately approve the named contractor and information to share. Participating contractors may pay us a referral fee; submitting a request is free and does not create a membership or marketing consent. Email our privacy contact to withdraw, correct or request deletion of an enquiry. A request does not guarantee an introduction.
How we use information
- To create member accounts, deliver private sign-in links and activate access to reports updated weekly.
- To deliver a requested sample and understand which trades and service areas are interested in the service.
- To provide customer support and send service, billing and access messages.
- To maintain security, prevent fraud and resolve disputes.
- To comply with legal, tax, accounting and regulatory obligations.
- To improve the service using limited operational information.
Consent and marketing
We seek consent where required. Requesting the project examples or purchasing a membership does not require consent to marketing. If you separately choose to receive updates and offers, you may withdraw that consent at any time by using the unsubscribe method in the message or contacting us. Essential access, billing and service messages may still be sent while your membership is active.
When information is shared
We may share information with service providers that help us operate the business, including Stripe for payments, Google for website analytics, and our website, email and infrastructure providers. They receive only the information reasonably needed to perform their services. We may also disclose information when required by law, to protect legal rights or in connection with a legitimate business transfer. We do not sell or rent customer personal information.
International processing
Some service providers may process information outside Ontario or Canada. Information processed in another jurisdiction may be subject to that jurisdiction’s laws.
Retention and safeguards
We keep personal information only as long as reasonably necessary for the purposes described above, including legal, accounting, dispute and security requirements. We use reasonable administrative, technical and organizational safeguards, but no online system can guarantee absolute security.
Your choices and rights
You may ask to access or correct personal information we hold about you, withdraw consent where applicable, or raise a privacy concern. We may need to verify your identity before completing a request, and legal exceptions may apply.
Public-source permit information
Our service organizes building-permit and related business-research information from public sources. If you believe information connected to you is inaccurate or raises a privacy concern, contact us so we can review it.
Changes to this policy
We may update this policy as our service or legal obligations change. The current version and its effective date will remain posted on this page.
